Let a Rental Company Tick Off Some Big Boxes on Your Party Checklist

Apr 25, 2017

Do you help organize a big block party in the summer? How about another event that involves a significant number of people and planning the logistics of where to put them? Whether you’re planning a casual block party, a graduation or birthday party or a more formal event, like a wedding, you’ll still need tables and chairs. If your event is outdoor, renting a tent is also generally a good idea for shelter and shade. To keep things simple — and to avoid keeping track of multiple companies — consider doing your chair rentals, table rentals, and linen rentals all from the same place. In some cases, you may even be able to get your tent from the same rental company.

Why Use a Rental Company?

If you’re planning a lavish event that can get quite pricey, you may be able to get a bulk discount from a rental company, especially if you’re renting multiple items. For example, the average budget for a bar or bat mitzvah is between $15,000 to $30,000. Saving even a little of that money can go a long way.

Planning any type of party or event means bringing hundreds of details together, from decorations to invitations, to food, activities, and drinks. Figuring out seating can often be a difficult task, especially if it’s being hosted at a place with limited seating or outdoors. A rental company can help make that task much easier. And given that table and chair rentals are an essential part of the party-planning and entertainment industry, you should have plenty of options available to you. Good quality rental companies will also have plenty of experience in the business and may anticipate some questions or issues before they even arise.

You’re also sure to get good quality pieces from a rental company — many rental linens are industry quality and can cover everything from tablecloths to smaller pieces like table runners or chair covers. Good linens can really tie your event together, especially if you have a color theme.

What Questions Should I Ask the Rental Company?

Check to see if they’re a full service company — can they help with event planning details or catering and beverage services? See how flexible their delivery and pickup times are — do they need their items back the night of the event? Ask them if they offer discounts and if so, what do you need to do in order to receive the discount? Some rental companies may also have the option of renting lighting and sound system equipment to go along with your table and chair rentals.

You’ll also want to know about their payment plan. Do they require a deposit? Will you get that deposit back at the end if all materials are returned in the same condition? Is the deposit applied towards your final total? What’s their insurance policy like?

Be sure to review the contract carefully before signing and keep a copy for your records. A week or so before the event, go line by line on your order and make sure that you didn’t over-order some items or forget to order other items. Get someone else to look at it too, for good measure. The last thing you want is to find out that you made that mistake the day of your event.

Where Can I Find a Reliable Rental Company?

If you live in a more metropolitan area, there are rental companies galore — a quick Internet search should yield pages worth of results. However, even if you live in a more rural area, there’s sure to be at least one rental company that can help you out. See if friends or family have used a rental company before that they would recommend to you — personalized recommendations often tend to be the most trustworthy.

Take some of the stress off your shoulders when you use a rental company for table and chair rentals for your next event. Let them handle the details of seating everyone and you focus on the big picture party.
